TERMS AND CONDITIONS FOR ENTERING THE PORT ADELAIDE ART EXHIBITION 2016/17

Rules of Admission

Entries for consideration to accept for hanging or display will be accepted from Monday 19th Septmber until Friday 2nd December 2016. Only entries made through the designated online entry system will be accepted.

By submitting your works through our online process, you enter into an agreement with The Rotary Club of Port Adelaide Inc. hereafter referred to as “the Organisers” and you agree to comply with these Terms and Conditions.

All paintings must be the original work of the artist, and no prints or copies will be accepted.

A non-refundable submission fee of $10 will apply, irrespective of the paintings size. Note that the Club is not registered for GST.

Any number of paintings may be submitted, but a maximum of 5 works may be accepted for judging.

If the Artwork is a photograph there can be no more than 10 copies in existence, and this must be declared on the Entry Form.

Artworks are to be no larger than 1 Square metre,including the frame and may have no length longer than 1.4 metres.

Artists whose works are accepted for hanging or display will be notified no later than Friday 9th December, 2016.

If a painting that has been submitted on line has been sold by the Artist prior to acceptance a substitute painting may be submitted in its place. No penalty or additional fee will apply.

Upon acceptance, the following additional and non-refundable fees will apply per work accepted for display, $2.00 per accepted painting.

To be eligible for the youth sections the Entrant must be aged 18, 15 or 10 years or less on 31st December of the year the Art Show commences.

Accepted paintings must be suitable for hanging, correctly marked and labelled on the back with labels that will be supplied, and be ready for hanging with strong wire (flush not protruding) or other professionally approved methods. If the above conditions are not met, paintings might not be exhibited.

As this is a community event works deemed to be offensive by the Art Show Director will not be hung.

Substitution of catalogued Artwork by other artwork is not permitted.

Entries in the Open or Maritime Sections must be entirely created without the assistance of any electronic device.

Delivery and Collection

All accepted artwork must be delivered to the The Harts Mill Flour Shed, Mundy Street Port Adelaide on  Wednesday 28th December 2016 between 9am and 4pm.

Unsold paintings must be collected from the The Harts Mill Flour Shed, Mundy Street Port Adelaide on Sunday January 8th 2017 between 8am and 5pm. No responsibility can be taken for uncollected paintings, which will be forfeited one month after the date of the Exhibition.

The organisers will not meet delivery charges on return of any paintings.

The Organisers will exercise all reasonable care in handling the artwork accepted, but will not be responsible for the loss of or any damage to any works while in the custody of the Organisers. Insurance against damage, fire and theft on individual works whilst in the Organiser's custody or in transit is the Artists responsibility.

Displaying Paintings

The Organisers will display all accepted entries at the The Harts Mill Flour Shed, Mundy Street Port Adelaide.

The Official Opening times will be:

Opening Night - Friday 30th December 2016 from 6.00pm

Saturday 31st December to Saturday 7th January 2017 10.00am - 5.00pm

The Organisers reserve the right to withdraw any work at any time from the Exhibition.

Judging

All accepted artwork will be considered for judging for prizes and awards. Each artwork is only eligible to win in one award category.

All awards are non-acquisitive unless otherwise stated. 

The Organisers’ and Judges' decisions are final and no correspondence will be entered into. 

Attending the Show

A entry fee, as advertised be charged to enter the Exhibition during Public viewing times, except children 12 and under who will have free entry.

A entry fee, as advertised, will be charged for entry on opening night.

Each exhibiting artist will receive one entry pass, for opening night and one free entry pass for use during the public viewing days. 

Painting Sales

The Artist appoints the Organisers as his or her agents for all purposes associated with the exhibition and agrees to allow the Organisers to offer all paintings for sale to the public at the price stated by the Artist on the entry form.

Artists must complete the GST declaration as part of the online entry process. Any applicable GST on the sale of a painting is the Artist's responsibility. All marked prices are to be inclusive of any GST where applicable. Prizes won by Professional Artists who are registered for GST will include the applicable GST amount.

The Organisers will deduct 25% commission from all painting sales. Artists will be paid within 14 days of the closure of the Exhibition.

Photography

The Organisers shall have the right to photograph paintings and publish those photographs for publicity purposes.

Prices of Artworks:

Each Artwork must be available for sale and the following conditions apply:

  • Entrants must determine the price and include that price on the Entry Form, which will then be the catalogue price. 
  • The catalogue price is an authority to the Organisers to display and sell the Artwork at that price.
  • No alteration to the catalogue price will be allowed, except that after the opening night, the entrant may ask the Organiser to lower the price, in which case a reduction will be considered by the Art Show Director.
  • The Organisers will not be responsible for displaying the revised lowered price.
  • The Organiser’s commission remains based on the catalogue price.

Insurance of Artworks

Entrants are responsible for the insurance of Artworks against Loss or Damage for the entire duration of the Artworks being in the care of the Organisers.

Organiser’s Reservations of Rights:

The Organisers reserve the right to reject any Artwork

The Organisers reserve the right to not award a prize in a particular section if, in the opinion of the Judges and the Organisers, no Artwork is of sufficient merit

During the Art Show

Commencing from the delivery of Artworks to the Art Show and until the conclusion of the Art Show Artworks will remain on Display, whether Sold or not.

No sale will be made by the Entrant except with the approval of an authorised officer of the Art Show.

Entrants sighting red stickers on the Artwork identification card may check at the sales desk to confirm that the Artwork is sold. No responsibility can be accepted in respect of errors in affixing coloured markers.

Dispute Resolution

In the event of a dispute arising regarding the interpretation of the Rules and Conditions, the matter will be referred to the Board of the Rotary Club of Port Adelaide and the decision of that Board will be final and binding on all parties.
